Using Meeting Prep in Bloom Growth
Walk into your meeting already knowing which Quarterly Priorities, KPIs and To-Dos are worth discussing, with the evidence and a question for each.
Meeting Prep reviews your meeting's Quarterly Priorities, KPIs and To-Dos before you meet, and puts the few items most worth discussing in front of you — each with the evidence behind it and a question to open the conversation. The items that clearly need attention are added to your O&O list automatically, so you walk in already knowing what the meeting is about.
Meeting Prep comes with the Scale and Flourish memberships, and is not included in Core. See Is this included in my membership? below.
Where to find Meeting Prep
Click Meetings in the left navigation and open the meeting you're about to run.
Look at the agenda list down the side of the meeting page. Meeting Prep is the first row, sitting above your agenda sections (Check-in, Headlines, KPIs, and so on).
Before the meeting has been started, the meeting page opens on Meeting Prep by default — you don't have to click anything. Clicking any agenda section takes you into the normal agenda, and clicking Meeting Prep brings the list back. Once the meeting is running, the live agenda takes over.
Note: Meeting Prep is built for your recurring meetings. When you're running a session agenda — a Quarterly, an Annual, a Bloom Day, or any other session agenda your admin has added — the Meeting Prep row is not shown, because the items it surfaces don't belong on those agendas.
What's on the screen
The panel is titled Meeting prep. Underneath the title, a small line tells you how current the list is — for example Refreshed 3 hours ago · Next refresh in 20 hours. On the right of that same bar are up to two buttons: Give feedback (shown when we're running a feedback survey) and Refresh.
Below that are two tabs, each with a count:
Discuss this meeting — things that are off track and worth the team's time this meeting.
Tune up your plan — setup problems that make your numbers hard to trust.
The "Discuss this meeting" tab
The line at the top of the tab reads: The few items most worth discussing this meeting, ranked by impact. These crossed a high enough bar to be added to your O&O list automatically — remove any that don't fit.
Directly under it, a status row with a checkmark tells you the current state — for example 3 insights added to your O&O list automatically, or None on your O&O list — with a single button on the right that toggles the whole section: Remove all when items are on your list, or Add them back when none are.
Each card below shows:
Its rank (1., 2., 3.) — the cards are ordered by impact, not by date.
The owner's initials in a circle.
A title saying what's happening — for example, that a KPI has missed its target three weeks running.
A line of evidence underneath it, with the actual numbers, plus a progress bar or milestone strip where the item has one.
A ? next to the title. Hover it (or focus it with the keyboard) to open Why this was flagged — the reasoning behind the card.
A shaded callout at the bottom labelled Guide your discussion: followed by a question to put to the team.
A button on the right reading Add to O&O list or, once it's on the list, Remove from O&O list. On a phone these read Add and Remove.
If more items were flagged than were added, an expandable row appears at the bottom: Show additional flagged items, with a line telling you how many — N more items were flagged for review but didn't rise to the level of automatic add. Expand to see them and add any to your O&O yourself. Click it to see them, and add any you want with the same button.
Note: items are already checked against your Parking Lot and your recently-solved items, so Meeting Prep won't re-raise something your team has just dealt with.
The "Tune up your plan" tab
These are not performance problems. The line at the top of the tab explains: These aren't performance problems — they're places where the plan's setup makes the numbers hard to trust. Flag now, discuss when you choose. Never added automatically; add any to your O&O list, or fix it on the Growth Plan with the owner.
Typical examples are a KPI with no target set, or a Quarterly Priority with no milestones. Each card has a callout labelled What I see: describing the problem, an Add to O&O list button, and a Dismiss (X) button next to it if you'd rather not deal with it now.
Two cards show by default. If there are more, the Show additional flagged items row reads: N more setup issues were flagged. Add any to your O&O list, or fix them directly on the Growth Plan.
Note: nothing on this tab is ever added to your O&O list automatically — that only happens on the Discuss this meeting tab.
Refreshing the list
Meeting Prep regenerates on its own schedule, so it's normally ready before your meeting. The subtitle under the panel title tells you when it last ran (Refreshed …) and when it will run next (Next refresh …, shown as a relative time within a day and as a date beyond that).
To pick up changes you've just made — a KPI you scored, a To-Do you closed — click Refresh at the top right of the panel. While it runs the button reads Preparing…, and the body shows Refreshing your list…. Generating can take a few minutes; you can leave the page and come back.
Straight after a run, the button counts down — Refresh in 1:47 — and hovering it reads Just refreshed — you can refresh again in a moment. That's a short two-minute pause; it clears on its own.
What you'll see when there's nothing to show
Meeting Prep tells you exactly which of these situations you're in, so an empty list is never ambiguous:
Preparing your list… — a run is in progress right now. We're reviewing this meeting's Quarterly Priorities, KPIs and To-Dos to surface what's worth discussing. This can take a few minutes — the list will appear here as soon as it's ready.
Your prep isn't ready yet — no run has finished for this meeting yet. Click Prepare the list to run it now, or check back closer to your meeting.
Nothing off-track this week — Every Priority, KPI and To-Do is on track. Run your Check-in and go straight to your O&O list — there's no agenda to walk today. Click Check again to re-run it.
Not enough here to prepare yet — there was nothing attached to the meeting to review. We looked, but this meeting doesn't have anything to review yet — no Quarterly Priorities, KPIs or To-Dos are attached. Add items to your meeting, then click Check again.
We couldn't prepare your list. — something went wrong and nothing was assessed. This is usually temporary — give it another try. Click Try again.
You may also see the message Couldn't prepare the list. Please try again. or Couldn't finish preparing the list. Please try again. after a failed refresh. Both mean the run didn't complete — click Refresh to start another, and contact support if it keeps failing.
How Meeting Prep fits into your meeting
Before the meeting — open the meeting. Meeting Prep is what you land on. Read the Discuss this meeting cards, and use the Remove from O&O list button on anything that doesn't belong in this week's conversation.
Scan the second tab — check Tune up your plan for setup problems. Fix the quick ones on your Growth Plan, and add anything that needs the team to your O&O list.
Start the meeting — the prep panel steps aside for the live agenda. Everything you kept is already sitting on your O&O list, in order, with the discussion question attached.
Work your O&O list as usual — solve items, and conclude the meeting the way you always do.
Is this included in my membership?
Meeting Prep comes with the Scale and Flourish memberships. It is not included in Core.
If your organization's membership doesn't include it, the Meeting Prep row still appears on your agenda with a small lock mark beside it. Hovering the mark tells you what applies to your organization:
Comes with followed by a membership name — your organization is on Core, and Meeting Prep comes with the membership named there. Clicking the row opens a card headed Meeting Prep comes with that membership, with the line Walk into the meeting already knowing which items are worth discussing and a link to see what that membership includes. Behind the card is a sample of what the real list looks like.
Part of Bloom's membership tiers — your organization is on Bloom's previous membership model, so this isn't included.
This trial has ended — Meeting Prep was switched on for your organization as a trial that has now finished.
While it's locked, your meeting isn't interrupted: the meeting page won't land on Meeting Prep, and you only ever see the locked card if you click the row deliberately.
Troubleshooting
There's no Meeting Prep row on my agenda. Check what kind of meeting you're in — the row isn't shown on Quarterly, Annual, Bloom Day or other session agendas. If it's a recurring meeting, check the membership section above. The row also appears a moment after the page loads, so give it a beat.
The list is out of date. Click Refresh. The subtitle under Meeting prep confirms when it last ran.
Items I removed came back. A refresh re-runs the review from scratch, so items that are still off track can be added again. Use Remove all to clear the section in one go.
It says nothing is off track, but I know something is. Meeting Prep only reviews the Quarterly Priorities, KPIs and To-Dos attached to that meeting. If an item lives on a different meeting, it won't be assessed there.
I disagree with a card. Hover the ? next to its title to see Why this was flagged, and use Give feedback at the top of the panel to tell us when a card misses the mark.
