Meeting AI Recorder and Summary

Record your meeting in Bloom and get an AI-generated summary of key topics, decisions, and updates — no one has to be the note-taker.

What the Meeting AI Recorder does

When your meeting leader starts a recording, Bloom captures the meeting audio and AI turns it into a meeting summary: the key topics, decisions, and updates from the session. The summary is delivered with your regular meeting summary, so the whole room can stay in the conversation instead of taking notes.

Included with every Bloom Growth membership plan. An org admin has to turn on recording & AI summary for your organization once before the first recording.

What you can use it for

  • Catch up anyone who missed the meeting. The summary gives absentees the takeaways in a couple of minutes.
  • Revisit what was decided. Days later, the summary settles "what did we agree on?" without a memory contest.
  • See the meeting at a glance. The summary document includes your meeting rating, To-Dos completed, O&Os solved, and recorded time.

Before you start

  • An org admin turns the capability on once for the whole organization (steps below). Turning it on never records anything by itself.
  • Recording is consent-based: everyone in the meeting is asked, and recording only runs with their agreement.
  • Use a desktop browser and allow microphone access when your browser asks.
  • Works in Bloom Weekly meetings and strategic sessions.

Turn it on for your organization (org admins)

There are two ways to flip the same organization-wide switch — either works:

From Organization settings — the switch's permanent home:

  1. In the left sidebar, click your organization's name (the entry showing your company logo), then choose Organization settings. Only org admins see this menu item.
  2. You land on the Advanced tab. Scroll to the row labeled AI Features and tick the checkbox.
  3. Review the explanation that appears and confirm. You can come back here to turn the setting off again at any time.

From any meeting you lead: if recording is off for your organization, the top bar shows Turn on recording & AI summary (on the right, where Start recording normally sits). Click it, and in the dialog titled "Turn on meeting recording & AI summary for your whole organization?" click Turn on. (Admins are also shown this dialog once automatically when they open a meeting.)

Either way, you'll see the confirmation "Meeting recording & AI summary is on. Start recording when you are ready — this did not start a recording." Turning the switch on never records anything by itself.

Record a meeting (meeting leaders)

  1. Start your meeting. The Record this meeting dialog opens automatically. Missed it? Click Start recording (play icon) on the right side of the meeting top bar, next to the menu, at any point during the meeting.
  2. The dialog tells you "We'll ask everyone who's in this meeting for consent to be recorded" and shows the avatars of everyone Bloom found connected — no ticking names by hand. While it's still checking, the button is disabled with "Checking who's in this meeting...". Need to adjust the list? Click Change who's asked and tick or untick attendees; your own name is always ticked.
  3. If someone is in the room without their own device, tick There are meeting attendees present without their own device. A Verbal confirmation dialog then asks you to confirm you've told everyone the meeting will be recorded and transcribed — tick the confirmation box and click Confirm. Bloom also plays a short audio announcement to the room.
  4. Click Start recording (or Not now to skip). The top bar shows Waiting for attendee consent...
  5. Everyone being asked sees a dialog titled Do you consent to having your voice recorded? — "This meeting is being recorded and transcribed. If you decline, recording for this meeting will be paused." They click Agree or Decline; the dialog stays until they answer. On Agree, the browser asks for microphone access — after allowing it, the top bar shows Mic on with a checkmark.
  6. Once everyone agrees, a pulsing red dot and Recording appear in the top bar — you're live. Anyone who joins the meeting later is asked for consent when they arrive.

If anyone declines, recording is blocked (or paused, if it was already running) for the whole meeting. As the leader you'll see a dialog where you can Try again after talking it through, or Resume without recording to carry on unrecorded.

Pause and resume

  1. To keep a sensitive stretch out of the record, click Pause (pause icon) next to the red Recording indicator in the top bar. It shows Recording paused, and nothing said while paused is captured.
  2. The same button becomes Resume (play icon) — click it when you're ready to continue.

If recording stays paused, Bloom reminds you with a banner ("Recording has been paused for 5 minutes.") so a paused recorder doesn't get forgotten.

Find your summary

In Bloom:

  1. Open the meeting and click Summary in the row of tabs at the top of the meeting page (Meeting · Workspace · Summary · Business Plan · Archive).
  2. You'll see one entry per concluded meeting, named "Meeting name Summary date" — click one to read that meeting's full summary.

By email: in the meeting Wrap-up, find the Concluding actions card and set the Send summary to dropdown (Send to all attendees, or Send to all attendees who rated the meeting) before you click Conclude meeting.

Summaries are visible to meeting attendees only.

FAQ

Does Bloom ever record on its own?
No. Each recording is started by the meeting leader, and everyone asked must consent first. Turning the feature on for your organization does not record anything.

What happens if someone declines?
Recording is blocked or paused for the whole meeting — a recording captures the whole room's conversation, so there's no way to leave one voice out.

What about someone who joins late?
They're asked for consent the moment they join. Recording continues only with their agreement.

My microphone isn't connecting.
If the top bar shows Mic blocked, click it for step-by-step instructions for your browser (Chrome/Edge, Firefox, or Safari), allow microphone access, then click Try again.

Is what we said while paused in the summary?
No. Paused stretches aren't captured at all.

Can I read the full transcript?
The recording is transcribed to power the AI summary, but the transcript itself isn't displayed in Bloom.

Who can see the summary?
Meeting attendees. Others see "Available to meeting attendees" instead.

Why don't I see the recording option?
Either your organization hasn't turned it on yet (any org admin can — see above), you're not the meeting leader, or you're on a mobile device. If an admin doesn't see the option, reach out to support.
