Importing Your Meetings from Your Calendar
Bring your existing recurring meetings into Bloom Growth during setup, instead of building each one by hand.
When you set up a new organization in Bloom Growth, your first meeting is your Leadership Team meeting. You can build it by hand, or you can import it — along with your other recurring meetings — straight from your Google or Microsoft calendar. Bloom Growth creates each meeting for you and invites the people who were already on the calendar invitation.
Note: This is a one-time import that runs during setup. It is not an ongoing calendar sync, and changes you make later in your calendar are not carried over to Bloom Growth.
Step 1: Choose to import instead of building manually
On the New meeting screen headed Create or import your Leadership Team meeting, you are offered two cards:
- Create manually — build your leadership meeting from scratch in the standard meeting form.
- Import from calendar — choose any recurring meetings from your existing calendar.
- Click the Import from calendar card.
- Click Continue.
Step 2: Choose your calendar
The next screen is headed Import from your calendar and asks Which calendar would you like to import from?
- Select Google to import from your Google Workspace account, or Microsoft to import from your Outlook or Office 365 account.
- Click Continue.
- Sign in to your calendar provider and allow Bloom Growth access when prompted.
Use Back at any point to return to the previous screen.
Step 3: Choose which meetings to import
Once your calendar is connected you land on Choose meetings to import, which lists the recurring meetings it found, each with its attendee count. One-off calendar events are not offered.
- Tick each meeting you want in Bloom Growth.
- Click Continue with 3 meetings at the bottom right — the number updates as you select.
If the screen reads No recurring meetings were found in your calendar., there is nothing to import from that account; click Create meeting manually to build your leadership meeting by hand instead.
Step 4: Say what kind of meeting each one is
The screen headed Configure your imported meetings asks you to review each meeting before it is created. Its instructions read: Review the meeting type and attendees of your imported meetings before we create them. At least one leadership meeting is required for new organizations.
Each meeting gets its own card with a Meeting name (taken from your calendar and not editable here) and one required Meeting type dropdown. Choosing the type also sets that meeting’s agenda, so there is only one question to answer:
- Leadership team meeting — for your leadership team. The default agenda includes check-in, goals, metrics, headlines, to-dos, issues and wrap-up sections.
- Weekly meeting — the default agenda includes check-in, goals, metrics, headlines, to-dos, issues and wrap-up sections.
- 1:1 meeting — the default agenda includes check-in, to-dos, issues and wrap-up sections.
- Open the Meeting type dropdown on each card. You can type to filter it — the placeholder reads Start typing or select from dropdown.
- Mark exactly one of your meetings as Leadership team meeting. The first meeting in the list is set to it by default, and the rest default to Weekly meeting.
- Click Review and confirm.
Note: If no meeting is marked as a leadership team meeting, the field shows the error One leadership meeting required and you cannot continue. A new organization must have one.
What happens to the people on the invitation
Under Attendees on each card, Bloom Growth lists everyone from the calendar event, split into Existing users and New users. As the screen explains: All attendees from the calendar event are included. Any attendees without a Bloom account will be invited to your organization by email.
You do not choose attendees here — everyone on the calendar invitation comes across, and anyone who does not yet have a Bloom Growth account is emailed an invitation to join your organization.
Step 5: Confirm and create
The Confirm meeting creation screen is your last check. It summarises what is about to happen — for example Review 3 imported meetings and 5 new users — and lists them under Meetings and New users.
- Read through the list.
- Click Back if you need to change a meeting type, or Create meetings to finish.
When it is done you land on Your meetings have been imported, which confirms how many meetings were created and how many new users were added, and shows each one with a Meeting created or Invite sent badge. Click Go home to go to your workspace.
Note: If one of the meetings already existed in Bloom Growth, the screen tells you so — 1 meeting already existed and was skipped. — and creates the rest.
If something goes wrong
Your IT admin needs to approve Bloom — your organization requires an administrator to approve third-party apps before they can read your calendar. Use Copy link on that screen to send the approval link to your IT admin, then come back and try again.
Unable to connect your calendar — the connection did not complete. Click Retry connection to try again, or Create manually to build your leadership meeting by hand instead.
Import partially complete — action needed — some meetings were created and some were not. The screen groups them under New meetings, Invited users and Failed imports, with a Failed badge on the ones that did not work. Click Retry failed imports to try those again, or Continue with successful imports to keep what worked and move on.
You can always fall back to building a meeting by hand: every one of these screens offers a Create manually route, and it is the same form you will use to add meetings later on.
